Responsabilities

Under the direction of the Executive Vice-President, the Administrative Assistant II will provide a high level of support diligently, efficiently, and confidently to the management team for certain administrative tasks. The Administrative Assistant II is also responsible for tasks specific to certain management aspects at the operational level:

  • Jointly with the Human Resources department:
    - Support for recruitment procedures.
    - Support new employees onboarding process.
  • Jointly with the Quality Assurance department:
    - Ensure the management of archived data (paper documentation and electronic records).
    - Manage the review and archiving of Standard Operating Procedures (SOPs) and ensure compliance with SOPs distribution and removal dealines.
    - Maintenance of SOPs Masterlist and Archive Index.
  • Management and publication of corporate documentation on CIRION’s website.
  • Preparation of administrative documents according to templates and follow-up with the various teams to gather and organize the required information to complete the documents according to the defined deadlines.
  • Updates on social media for the company in accordance with internal policies.

  

Qualifications

  • Diploma of College Studies (DEC) or Attestation of Collegial Studies (AEC) in secretarial studies, office automation or administration. A higher level of training will be an asset;
  • Minimum of 3 years of relevant experience as an administrative assistant or similar position.
  • Advanced computer and grammar skills, including a high proficiency in French and English (oral and written)
  • Advanced knowledge and advanced working skills of Microsoft Office, specifically MS Excel, MS Office.
